Job Title: Snr Administrative Assistant/ Private Assistant

Location:  Amsterdam, Netherlands

The Senior Administrative Assistant will assist in the smooth running of the Amsterdam office from a number of perspectives.


Responsibilities

• Facilities management of office procedures (alarm systems, access), office maintenance (liaison for building manager, external contractors, cleaners, shredding etc.)
• Office administration tasks to include budgets and expense forecasting, expense claim oversight,  ordering of office supplies, ownership of marketing brochure documentation, filing and management of safe documentation, invoicing, vendor management
• AML/KYC support (document search and client communication packs)
• Meeting arrangements for Country Executive, Relationship Management team, calendar management and preparation of meeting rooms including catering for meetings
• Distribution for access cards and parking cards
• Travel arrangements for Country Executive and client meetings
• Responsible for business continuity procedures: Life Safety responsibility; local guidelines, First Aid team training, annual drill requirements, defibrillator spare parts.   IT needs (Virtual Machines), WFH assessments, Annual BCP review, Client emergency contacts, Call tree, Key vendor listing
• Marketing, communications and branding project
• Audit requirement support
• New joiner setup and support
• IT liaison for local issues
• Local contact for HR and Pensions
• Legal document handling
• SharePoint site setup for Amsterdam and ongoing maintenance
• Event management and follow up
• Country Executive support to include varied and evolving multiple responsibilities; Amsterdam Office, Fund Managers Board, internal management reporting (NTGS Board, EMC, ELC)
• Client Exec and Senior RM support to include strategic client business cases, agenda driven (commercial support, pricing models, presentations, client driven events, re-bids, meeting arrangements front office)
• Any other ad hoc duties as required in a growing office with changing demands

Requirements

• Qualifications in Secretarial, Facilities Management or Office Management preferred.  Experience within a global organisation would be beneficial.
• Proven experience in a similar role
• Advanced Microsoft Office experience (focusing on Excel, Word, PowerPoint and Project) required
• Excellent written and oral communication skills in English and Dutch
• Flexibility and adaptability to changing business requirements
• Ability to display initiative, confidence and professionalism in all dealings
• Demonstrates a working knowledge of principles and practices of project management and business administration; financial principles and practices; electrical and mechanical systems and procurement and contracts
