The key responsibilities of the role include: 
  • Warmly welcome all clients and partners entering the 21st floor in a friendly and professional manner providing outstanding client service to all.
  • Answer all incoming calls from clients and partners in a friendly and professional manner.  Use the 'A' approach.  Offer assistance to clients and partners with requests such as (i.e.driving directions, calling cab, or other special requests) that will make the experience memorable.
  • Coordinate conference, meeting rooms and dinning reservations.
  • Prepare daily appointment logs and maintain corresponding metrics.
  • Coordinate event logistics with the 40 West Building management (Ac, lighting, parking).
  • Facilitate parking validations.
  • Support administrative functions (business cards, invitation mailing, updating eRM for events and mailing).
  • Provide backup assistance for service support for our Ricoh printers.
  • Facilitate AV equipment needs for internal and client meetings.
  • Coordinate the payment of invoices for 40 West with Accounts payable, ensuring timely payment
  • Successfully initiate and/or execute directed client account servicing activity as requested by Partners within appropriate time frames.
  • Communicate with Partners in a professional manner, acting with urgency and giving appropriate priority within satisfactory time frames, seeing tasks to completion 
  • Develop strong relationships with client facing teams by responding to all servicing requests completed within the teams, with resolution of requests as soon as possible. For requests requiring substantial time to resolve, keep partners informed of progress until problem is resolved
  • Carry out all directed administrative duties required to deliver exceptional service to clients and  photocopying, scanning and mailing, as well as room setup, breakdown, and/or meeting coordination
  • Attend all requested and required training classes and educational seminars and participate in projects, committees or group activities as requested
  • Develop and maintain a strong proficiency in Microsoft Office Applications, especially Outlook, Word and Excel
  • Embrace identified opportunities to expand working knowledge of the latest enhancements to Northern Trust partner and client technology and/or systems in order to maintain highest standards of administrative and operational efficiencies
  • Complete special projects or assignments when directed by your Manager


The successful candidate will benefit from having: 
  • Ability to operate a switchboard (or multi-line call director) usually acquired through previous office training is necessary to answer calls. 
  • Ability to operate office machines, such as a personal computer or typewriter is necessary to relay messages and perform other duties.
